A 15-Minute Weekly Planning Routine With the Eisenhower Matrix
A matrix you fill once is a snapshot; a matrix you review weekly is an operating system. This is the simplest sustainable version — fifteen minutes on Sunday that decide your week before the week decides it for you.
Why weekly, not daily or monthly
Daily planning happens inside the storm — everything already feels urgent by 9am. Monthly is too far out to be concrete. A week is the natural unit: long enough to make room for important-but-not-urgent work, short enough that your predictions are still accurate. The review's real job is protecting Quadrant 2 — the workouts, deep work, and relationships that urgent noise otherwise eats.
The 15-minute routine
- Clear the decks (3 min). Check off what got done, delete what died, and look honestly at what slid — repeated sliders are usually mislabeled importance.
- Brain-dump the new (4 min). Sweep email, chats, and your head for every new commitment since last Sunday. Capture, don't judge.
- Sort with the two questions (4 min). Urgent? Important? Each task lands in one of the four quadrants. Be ruthless about the difference.
- Schedule Quadrant 2 first (3 min). Before the calendar fills, place the important non-urgent work on specific days. This one step is most of the method's payoff.
- Confirm Do First (1 min). Two or three genuinely urgent-and-important tasks, each with a reminder. That's the week's spine.
Making it stick
- Anchor it to something you already do — Sunday coffee, the commute home from the gym.
- Let recurrence carry the boring half. Chores, invoices, reviews, and workouts shouldn't be re-planned weekly; set them to repeat and the review becomes pure decision-making.
- Miss a week? Just do the next one. The system degrades gracefully — a stale matrix still beats no matrix.
📱 A review that's mostly done before you sit down
In Eisenhower Matrix: Task Tracker, the weekly review shrinks because the system runs all week: tasks get sorted at capture, recurring tasks (daily, weekly, monthly) re-appear on their own, and reminders handle the deadlines. Sunday becomes a five-minute glance — drag a few tasks between quadrants, date the new Quadrant 2 items, done. The recurring "Weekly review" task can even schedule itself.
